    Hospitaller Meeting Minutes
    ALL ARE WELCOME TO ATTEND!

As a reminder, *anyone* can be a Hospitaller! The Hospitallers (pronounced hos-pit-ell-er) are not a guild, nor do we recruit for guilds. We offer assistance to any player who has questions in the game, the forums, or in Discord. Any player can wear the Hospitaller title and offer assistance to others.

Anyone who participates as a Hospitaller is to be doing so for the benefit of players and not for themselves; meaning Hospitallers will not use their title to recruit for their guild or for in game/RMT financial benefit. Anyone who creates, participates, or is involved in Hospitaller related projects as a result of these meetings understands the results will be available for all Hospitallers to use related to the New Player Experience.

This post is a summary of the discussions held during the weekly meeting we hold on Sundays at 11am(CT), which anyone may attend. Whether you are a Hospitaller, want to be one, or have a question you haven't been able to find an answer for, all are welcome.

With the impending March 27 RC build, we will be suspending our normal meeting structure as seen in the past posts of our meeting minutes.

The goal for the meetings now will be to refine and expand methods to bring visibility to the Hospitallers and what we do. This includes Public Service Announcements (PSAs) both recorded and written as well as adjustments to the SotA website text and (possibly) in game events along with other ideas as discussed during the meetings.

Of course we will still bring up and post New Player Experiences as reported by the Hospitallers and post them in the minutes. These interactions are helpful for the Devs as well as other players who may read them.

    New Player Experiences:
    • New Player Outskirts progression: @Temujin2 Friday - Discord New Player - Blood River - FYI: There is now an escort quest in Blood River. Found that along the path of Truth new players are spending significant time waiting for NPCs to spawn/appear. For Example: In Etecter the Female NPC that leads you to Alberic and Also Alberic himself do not show up unless the player logs out and back in again. This also impacted Avites, Captain Steel, and a pilgrim you need to talk to to progress. In these examples we waited for a 24 hour in game cycle. (Possibly related to invisible NPC bug?)
    • New Date column on Vendors: @Lazarus Long - Players vendors are default sorted by Date. (really should be should be default sorted by item name)
    • New Player Mining Locations: @Merrik said that new players have been asking where to go to mine and fight where they have a chance at surviving. There are four new player friendly mines in the game; @Merrik will compile a chart to assist Hospitallers in advising new players of where to go for what types of ore etc. We will re-visit this next week. Here is what the chart looks like so far (thechart will be in XLS format when done):

      Owls nest (Tier 1)
      Iron
      Copper

      Understorm Gold mine (Tier 2)

Lost Whiteguard Silver mine (Tier 2)

Broken Echos Silver mine (Tier 2)

Elysium Mines (Tier 5 in Twins Foothills)
      Silver
      Copper

      Etceter Crag Mines (Tier 5)
      Gold
      Iron
      Copper

      Graff Gem Mines (Tier 5)
      Gold
      Copper

      Serpent's Spine Mines (Tier 5)
      Silver
      Iron

Spectral Mines (Tier 5 in Spectral Foothills)
      Iron

      Verdantis Mines
      Silver
      Copper

Public Service Announcements and Visibility Project:

    • SotA main website: Possibility of shifting the Hospitallers information currently under resources to a "Hospitallers" menu item on the Community menu with updated information including the forum section for new players.
    • Audio/verbiage for PSAs: @Ravalox will work to finalize generic audio for Hospitaller use.
    • Live Stream Hijack:
      • No new info this meeting.
      • @Ravalox has discussed with @Berek taking over a portion of a weekly Portalarium Livestream (on Fridays @ 4pm CT) to bring visibility to Hospitallers and some tryout some other things... Currently planning for about 30 minutes of community based content (have no issues going for the full hour if we have quality topics and content) allotting about 15 minutes for "An Introduction to Hospitallers (Who, How and Where)", including a live in game walk through tutorial.

Looking for more topics to use during the livestream that new players may find useful.

When? As discussed, we are thinking the best time to do this would be after Release, targeting mid April. If this is successful, we might want to propose quarterly or monthly community "hi-jacking" of the Port weekly livestream.

    New items this meeting:
    • Donating items for new players and Hospitaller listing topics: (from Spoon's Post (above)) - This will be a topic for discussion next week. Preliminary, a thread for items available to be given to new players sounds great. Currently available Hospitallers can be seen in Discord, but an ongoing list would be nice too.
    • New Player Information: @Spoon's "Welcome Outlander" lot in Soltown. So I have had a lot in Soltown aimed at newcomer welcome since before persistence. Since I will now do some review/polish work on that before release I would love to get feedback from other Hospitallers on what to keep and what to change etc.

Also if anyone wants to get added to the lot for Hospitaller work so that you can more easily showcase the game, then let me know through Novian Postal Service and I will add you next time I'm by. As well if you think you need something there like specific deco or objects etc feel free to add your input.
      • Same thing if anyone wants to help out with the vendors there - they need more newcomer/beginner friendly stuff at low prices.
    • Review New Player Handbook: We will look at this important in game document next week, ensuring it reflects current information.

    Outstanding tasks after this meeting:

    • Forum Threads:
      • Start a public thread "Who are the Hospitallers?" to bring more visibility to the group.

    Tabled Projects:

    • Meeting date/time: We discussed the possibility of shifting the date and time of the weekly meeting to increase attendance and better serve the global community including a possibility of having separate meetings for each region (centering around 11am regional time EG: Saturday 8pm CT is AUS Sunday 11am and Saturday 5am CT is 11am UK)
      • This item is tabled for the moment, but may become relevant after Commercial Launch.
    • Stream the meeting: Would show the Discord screen with the Hospitaller chat in focus. Possibly also use the Discord video call? Also proposed is to create a Twitch channel and link the archived video in the meeting minutes. Can be hosted by various SotA streamers to get more visibility. Possibly have NBNN and Avatars Radio simulcast the meetings as well.

More details surrounding the implementation of this idea need to be gathered. If we move forward with streaming the meetings, we would need to be consistent (IE: every meeting should be streamed, requiring sufficient alternates with ability to do the stream) . The idea of having some of the SotA streamers host the stream would bring more visibility to the group as well.

When streaming, the meeting would begin with a standardized statement of expectations for the participants. (what Hospitallers and the meeting is about, civil discussion etc.) The streams, even if hosted by others should be archived on a Hospitaller Youtube/Twitch channel.

tested all links on sotahelp.org -- quests of the avatar seems to be down, won't remove. Prob just temporarily. Added 5 or so new items ;)

Enjoy! As always, if you see I've missed something significant, please let me know :) (I'm sure there are missed items. I hope to catch more and more each month while I'm reviewing these during telethons).

    New Player Experiences:
    • Mine chart for new players: @Merrik presented a chart of mines present on Novia and Hidden Vale. The mines range from Tier2 to Tier5 and the chart indicates what ore is available in each with a color code to indicate availability of each type.

This chart will aid new players (and veteran) in locating a mine appropriate for their level to farm ore. Thanks to the many players who assisted in researching and beta testing!

The wandering encounter worksheet tab is still under construction.

The workbook has been pinned to the Discord Hospitaller channel for easy access!

    New items this meeting:
    • Donating items for new players and Hospitaller listing
      Hospitaller listing
      Player Welcome Lots:
(from Spoon's Post (here)) - @Spoon, these are great ideas and those present at the meeting today didn't see any issues with you starting the threads you mentioned. Keeping in mind that there is no official endorsement since the Hospitallers don't have a defined leadership structure or organization. Hospitaller efforts can be made by anyone who follows the Hospitaller tenants @Lord British has put forth.

As @Elgarion noted, when you create the thread(s), it would be great to let him know so they can be listed on the SotAhelp.org website.

    • Review New Player Handbook: Next week we will start going through the handbook for accuracy and see if there is anything helpful we can add. This is important in game documentation! Please try to review the in game book prior to the meeting. This review is expected to take more than one meeting, but the more prep participants complete prior to the meeting, the more we can go over.

If you do not have a "New Player Handbook" in your inventory, you can take a Lunar Rift back to the Isle of Storms and collect one from the pedestal halfway between the Magic Mirror and the Oracle Conservatory.

Please see the below chart for lunar rift timing ... (Thanks @Birko!)

To get to the Isle Of Storms, just enter the Lunar Rift that is the current Destination: Example: During the Full Moon, enter any of the Lunar Rift locations to be transported to Owl's Head. Once you arrive at Owl's Head, Re-Enter the Lunar Rift and you will be taken to the Isle of Storms.

NOTE: The New Player Manual is NOT currently present on the Isle of Storms when you return. (I submitted a bug). I left the above info in as it is still good knowledge.

    New Player Experiences:
    • Isle of Storms Mirror: @Lazarus Long reported that while on QA he experienced a game crash when attempting to create a second character on his account.
    New items this meeting:

    • New Player Handbook items to look at: @Berek
      • We noted that the handbook is written specifically for the online player, with references to adding friends and using them for fast travel. Will there be a separate handbook for offline mode?
      • On page five (Speaking to players), /z is not covered for Zone chat. (also /n is not noted for Orb Communication).
      • We have found that players can re-visit the Isle of Storms Magic Mirror as long as they do so before going through the Lunar Rift. (this is a good thing, and may be worth noting in the Handbook, as well as in the game when they click on the Mirror the first time.

    • Hospitaller plan for assisting new players during the next couple of weeks (or more): We discussed encouraging any player who wishes to assist new players to make use of the Hospitaller title and hangout in and around the three new player towns. Of course this is only if the player wishes to assist what we hope will be a rush of new players coming into the game.

Looks like it was a great meeting!

Yes, we'll mention the Hospitallers on the next livestream, let's chat more about that.

Thanks for the player handbook corrections!

    New Player Experiences:

During this section of the meeting, we relate issues new players have brought to Hospitaller attention that may assist Portalarium in improving the New Player's Experience.
    • Client Crashes:
Several players have reported crashing to desktop. There are a few threads in the [R52 Critical Issues] forum. If you are experiencing crashes, please be sure to reply to one of the threads that applies to your situation (Windows, Linux, etc). Some things to try involve temporarily disabling real time file scanning in your Anti-Virus, or adding SotA into your firewall as an exception or "Always Allow". If this does not resolve the issues, please be sure to post in the bug forum noted here, and include the SotA bug template, by typing /bug in the chat window. the /bug command will place lots of important info in your clipboard that you will need to paste into the forum post you create. Please provide as much detail about what you were doing at the time of the crash, and what you had to do to recover from it!
    • Grand Tour:
When a new player creates their Avatar, just before they leave the Isle of Storms, they can talk to an automaton (pronounced: aw-tom-a-ton) with a Bowler hat. There they will get a "Grand Tour" quest.

This quest is intended to help orient the new player to navigating New Britannia. The Lunar Rift system can be used to get to the various locations, but is not mandatory. Somewhere in each town there is an automaton with a Bowler hat who will progress the quest for the player. The player can use the compass indicators to help them locate their target, or just explore to find him.

One of the automatons is not easy to find, this is purposeful. Some additional detective work may be required on the part of the player... :D

    • In Game Map issues loading:
Some players are reporting that the in game version of the map (also referred to as the mini map) is never populating the map detail once "M" is pressed. This thread contains details for this issue: [In Game Map not Loading]. If you see this issue, you will also see a URL for a website that provides the map screens. Please be sure that this URL is added to your website firewall, and make sure your firewall is set to "always allow" access to the internet for SotA and the launcher. NOTE: When the game patches, the firewall settings for SotA should be checked again to ensure they have not changed.

If you are experiencing other symptoms related to the map, please be sure to report the bug using the /bug command and pasting the template using CTRL-V into the new post you create.

    • Quests:
There are known issues with a number of quests being broken. Please be sure to check the quest bug forum [Quest Bugs] to see if your quest has already been reported. Please be sure to reply to that thread confirming the symptoms already reported. In the event the Devs need additional information, they will mention you in a reply post.
    Additional Meeting Topics Discussed:
    • Review New Player Handbook:
No handbook items brought up this week.

If you do not have a "New Player Handbook" in your inventory, you can take a Lunar Rift back to the Isle of Storms and collect one from the pedestal halfway between the Magic Mirror and the Oracle Conservatory (See the above meeting posts for details on how to get back to the Isle of Storms)
    • Hospitaller Title In Game / Discord Flag:
Players should remember that when they are displaying the Hospitaller title in game or are logged in as a Hospitaller in Discord, they should be helpful and friendly to others in game.

      The
Hospitaller title is *not* to be used to roleplay in game, nor should players displaying the Hospitaller title engage in any griefing, scamming, or otherwise negative behavior.

If there is any doubt as whether you should do or say something under the Hospitaller flag or title, then don't do it; ask if it is OK at the next Sunday meeting.

If you experience or witness a Hospitaller do something that does not fit with our tenants, be sure to report that player in game, or via support@portalarium.com.
    • New Player Forums:
@Berek - During the meeting it was discussed that the "New Player Welcome" forum topic should be renamed to "New Player Welcome / Help" to give new players a visibly direct path to where they can post questions.

    • SotaCon-Austin 2018:
@Winfield - SotaCon-Austin will be held this year on Oct 11th, 12th, and 13th. There will be extra activities scheduled for Sunday the 14th outside of the Con itself. (more info to be published later).

On the 13th there will be a series of roundtable discussions held on a number of subjects. Each of these tables will be moderated by a community member. The moderators will present the results directly to the senior Devs at the end of the day.

One of the roundtables will be Hospitaller focused. Since Ravalox cannot attend SotaCon-Austin this year, we are looking for a Hospitaller that can act as moderator for this event and report back the findings to @Ravalox for inclusion in our meetings, as well as review the results with the Devs. Please reach out to @Ravalox or @Winfield if you can act in this role.

Also in the works is a "New Player Experience LAN Party"! The plan would be to have players playing together with the focus on New Players and early game experiences. @Winfield will be posting additional information and a questionnaire to determine interest.
    • Live Stream Hijack:
@Ravalox has arranged with @Berek to take over a portion of the weekly Portalarium Livestream (on each week, Fridays @ 4pm CT) on April 27th to bring visibility to Hospitallers and tryout some other things to assist them in their efforts...

Current plan is for about 30 minutes of community based content, allotting for at least 15 minutes for "An Introduction to Hospitallers (Who, How and Where)", and possibly include a live in game walk through tutorial on a single topic.

We are also looking for more topics to use during future livestreams that new players may find useful. Please contact @Ravalox with any ideas or suggestions.

    Outstanding tasks:

    • Forum Thread:
Start a public thread "Who are the Hospitallers?" to bring more visibility to the group. (on hold for a few weeks) @Ravalox is working on a proposal for Portalarium to make some adjustments that will assist in this effort. This includes changes to the SotA main website including possibility of shifting the Hospitallers information currently under resources to a "Hospitallers" menu item on the Community menu with updated information including the forum section for new players.
    • Audio/verbiage for PSAs:
@Ravalox will work to finalize generic audio for Hospitaller use.

The Hospitaller title is *not* to be used to roleplay in game, nor should players displaying the Hospitaller title engage in any griefing, scamming, or otherwise negative behavior.

Players should remember that when they are displaying the Hospitaller title in game or are logged in as a Hospitaller in Discord, they should be helpful and friendly to others in game.

If you experience or witness a Hospitaller do something that does not fit with our tenants, be sure to report that player in game, or via support@portalarium.com.

This post is a summary of the discussions held during the weekly meeting we hold on Sundays at 11am(CT), which anyone may attend. Whether you are a Hospitaller, want to be one, or have a question you haven't been able to find an answer for, all are welcome.

    • Player Manuals:
When a new player creates their Avatar, just before they leave the Isle of Storms, they will pick up a new player manual. This, and a Player Guide can be found in the player's inventory. @Berek we would suggest that a link to the web version of the player manual be placed on the launcher UI. This would give anyone who just installed the game a good way to find it right away if they cannot get things working. Also mentioned was that the player manual should have a troubleshooting section or Trouble FAQ.

    • COTO Vendor Locations:
@Berek the web page listing the in game COTO vendors needs to be updated to include the Automaton COTO vendors and their locations. In addition, the web page is not easy to locate and should be more prominent.

      Link for reference: https://www.shroudoftheavatar.com/?page_id=64674
    Additional Meeting Topics Discussed:
    • Review New Player Handbook:
      • Please add a hyperlink in both the New Player Manual and the Player Guide (in game) to the website versions, so they can more easily be searched.
      • @Berek on page 16 of the New Players Handbook, please include an invite link to the Shroud Discord Hospitaller channel: https://discord.gg/ECzj92Z
      • Both player manuals do not have any reference to the following icons (that appear on screen) in the User Interface section:
        - Pending Friend Requests
        - Mail Waiting Icon
        - Damaged/Broken Weapons
        - Low Ammo Indicator
These need to be added to the manuals.

NOTE: If you do not have a "New Player Handbook" in your inventory, you can take a Lunar Rift back to the Isle of Storms and collect one from the pedestal halfway between the Magic Mirror and the Oracle Conservatory (See the above meeting posts for details on how to get back to the Isle of Storms)

        - Group Loot Permissions System options
        - What is Pooled XP?

I have not been available on Sunday mornings. Does anyone else have another time in mind to meet (even if it's casual) for a hospitaller voice discussion on discord?

I suggest a weekday evening for Americans. Monday or Tuesday?

Hi folks -- I noticed a malware issue with my old sotahelp website service I was using. I'm now just pointing the domain straight to my database design service, the same I use for RPOTA. You'll notice the URL, after typing sotahelp.org will immediately take you to:

    https://sotahelp.knack.com/sotahelp/

This now provides SSL protections, albeit the site is just a simple link list of SotA Resources, hopefully I won't have a malware issue again in the future. I have to do some work on the site now cosmetically since it's no longer embedded into Wordpress and receiving all those fancy template cosmetics. Expect some lovin' for the site in the future. I've decided I'll likely expand out its functionality again as time permits.

Google searches still suggest SotAHelp.org might be hacked. I've put in the request for Google to review SotAHelp again to remove the warning, but the request may take several weeks to process. Not only has the problem been fixed, users can no longer visit the old site.

    Meeting Topics Discussed:
    • New Player Experience:
      • New Players are having trouble with the UI: Players miss many functions and features in the game because they don’t know how to utilize the UI properly.
        • Looking for Group Tool may not be advertised enough / is difficult to reach.
Could be more visible or a screen tip for it.
      • Invites to Group: New players often miss invites to groups and other notifications.
        • Goes unseen in the top left. Players have even missed it when they are expecting an invite.
          - Recommend moving the Party Invite's default placement to UI center (just under the compass)
          - Recommend that the x,y coordinates of the Party UI be saved, so next time it shows (even in a new client session), it will remember where the player placed it.
          - Possibly pulse or animate the GUMP to draw attention to it.
          - Add audio prompts for Invites, Whispers, and other notifications.
    • Review New Player Handbook:
    • Hospitaller Tag:
      • Some players are using it for personal gain past simply recruiting for guilds.
      • Ravalox has met with Lord British to discuss these issues (collaboration on the below and more continues) :
        • People are using Hospitaller titles because it’s a coloured, non-outlander tag, not knowing what hospitallers do.
          • Hospitaller title may be acquired via quest in the future.
        • Hospitaller tags in discord mechanically do not follow the same methods as in game and cause difficulty in enforcing current Hospitaller rule sets.
          • Rulesets and guidelines (as reviewed on the Portalarium live stream from 4/27) are being reviewed and adjusted.
        • Method for Reporting a Hospitaller for bad behaviour.

    Meeting Topics Discussed:
    • New Player Experience:
      • Players still reporting the Health Bar bug - There is a visual bug where the player's health bar does not appear restore to full health. This is a visual issue only. Some players will see your health as 100% and others not. The Devs are aware and are working on the problem. See this thread for more info: https://www.shroudoftheavatar.com/forum/index.php?threads/responded-health-bug-earth-skills.122221/
      • Loading screen locking up at 98%/99% - This is a known issue and is being looked into as well as the above.
    • Hospitaller in game mechanics and ruleset:
      • Ravalox continues to work with Lord British on the items discussed during the last meeting. Hoping to have all JIRAs submitted by the next meeting, so we can review.
NOTE: Nothing discussed or submitted to the Devs is guaranteed to be put in place. Until it makes it into the Instruction document, anything can change, so please keep this in mind when discussing these items with other players.

    Hi!

Hospitalers are all volunteer players. We have no special powers in game or in the forums. There is no mechanic in place to solve that particular problem of kill stealing at this moment. I am hopefull that a mechanic will be added to the game "Soon" (Trade Mark coming "Soon" (Trade Mark coming "Soon" (Trade Mark coming "Soon"...)

We can only try to set a good example to other Hospitalers, and all players really, by acting like good stuards of virtue and help new players to the best of our abilities as individuals.

If you have a more specific complaint, the only appropriate avenue available to you is to email support@portalarium.com with screen captures and game logs that show the offending players commiting actions which are against the Terms of Service. Please do take care and avoid trying to publicly post any grievance with Portalarium's moderation of the incident in question, as that would be a violation of the TOS which would most harm your quest for a resolution. Do understand you were heard in this past meeting, however any mention in the minutes bore the risk of resulting in you all possibly incurring a violation of the TOS.

I hope this helps clarify your understanding of what a Hospitaler is and can do, and help propperly direct your quest to assuage your need for some sort of resolution to what you experienced.

Looking forward, we are hoping to clarify appropriate actions for those wearing the title of Hospitaler soon (trade mark coming...) and maybe get a bit of change to the game mechanics to help us Hospitalers be better and assure things are being done by Hospitalers for the right reasons, in better ways. But any such changes will not be retroactive.

    Meeting Topics Discussed:
    • New Player Experience:
      • @Berek The tool tip on the New Player Feedback forum references R32. Replace "Please include blah blah blah R32..." with "Please post feedback here."

      • It was brought up by @Steevodeevo that the Shroud (cloak) cannot have Heraldry applied to it. There were references to a forum thread on this topic.
      • @Steevodeevo also noted that the friends list as it stands can be used to track players and gank them. It was noted that many of the PvPers will not accept friend requests for this reason.
@Berek, during this discussion, it was suggested that a Privacy mode should be added to the friends list. This would be in the form of a new column "Status"; modes should be as follows: Online, Offline, Away, and do not disturb.
    • Hospitaller in game mechanics and ruleset:
      • Ravalox continues to work with Lord British on the items discussed during the last meeting.
        • Reviewed the Hospitaller Quest questions (total of 27 solid questions in the pool so far) . Looking to add more questions to the pool, please contact @Ravalox with any ideas.
        • Added a Completion question that would be asked if the Quiz is successfully completed. (Do you agree to abide by the Hospitaller Code Of Conduct)
        • De-incentivising Mechanics: Players looking to flag themselves as a Hospitaller should be doing so solely to assist players. We have been discussing what mechanics can be put in place to ensure the players who choose to be a Hospitaller do so without the intent to abuse the title. So far we have 1/10th Damage credit (where the Hospitaller gets only 1/10 of the credit toward looting rights when fighting mobs. This will ensure that Hospitallers cannot steal kills from other players. WE have also suggested that when flagged as PvP, the Hospitaller title is not available, and no XP while wearing the title.
        • Hoping to have a draft of the Hospitaller Code of Conduct for this coming Sunday's meeting to review.

NOTE: Nothing discussed or submitted to the Devs is guaranteed to be put in place. Until it makes it into the Instruction document, anything can change, so please keep this in mind when discussing these items with other players.
