    There's still a lot of planning to do, but I hope the hotel location relieves some of the stress for everyone.

    I guess someone has to be the asshole to address the elephant in the room here...

    So...we have been patiently waiting for six months for information on the location for this event and many people waiting to see if it's worth the ticket price to attend.

    Now it is announced and it seems like a somewhat familiar location - like the same place the BMC Convention has been held the last two years:
    Year One - Video ( and this hotel's internet roundly is awful! )

    My first point is that the meeting room is awful small for 42+ (and hopefully growing) plus Portalarium staff for panels and such. The nearby conference room is half the size and has a giant conference table in it.

    Maybe, the big hat event organizers have planned for this and have hotel staff are going to remove the big tables and put in 80-100 chairs facing that little podium (or) maybe like 2015 when the 30-35 people extended into the pictured hotel's breakfast area/lobby check-in area. I do recall seeing a fire code occupancy limit placard on the wall in 2015.

    My second point is that a cursory search for event/meeting hall spaces shows 200+ possible locations in Austin that might work better. Even a real hotel with actual event/meeting hotel space like - there are 12 hotels in the Marriot family with at least 1000 sq foot rooms.

    My third point is if this is truly a SOTA Convention as it's is being promoted/advertised as...and not just the BMC Convention Year Three with Friends...then the organizers can and should do way better than this option or location. This little room can't rate a cost of $1,500 over two or three days for panels...what on earth is the rest of $6218.00 (again so far) paying for?

    With "Commercial Launch" occurring late this year I want this event kick ass and take names. When you plan small you can only succeed small, if you take a risk and plan a bit bigger maybe this will succeed bigger.

    So there are a ton of people who live in Austin that could help the big hat event organizers - including a couple with BMC/NBNN connections.

    Regardless, I am looking forward to seeing everyone again even if it's under a big top tent in the parking lot.

    Seriously... Watch a portion of the video, see the size of the room and think about 80-100 people trying to fit in behind the breakfast buffet in the lobby of this hotel.

    No one says the panels and event stuff has to occur in the same hotel where you're staying. F' that.

    Regardless, I am looking forward to seeing everyone again even if it's under a big top tent in the parking lot.

    You can easily look at the list of attendees and see only 2 members of the BMC going at this point and are far out numbered by all other guilds.

    And Yes. We are using the past 2 BMC conventions as our template for this event.
    We have successfully used this site in the past 2 years and are now using the site again this year.
    Proven track record helps.

    And how much do you think it cost for Food, Drinks, Snacks etc for starters not including other cost for this many people? those 2 little room cost $3,500 to hold and rent if we don't get folks to stay in rooms.

    The accounting is posted here on the site and available for all to see.

    We never utilized this place for it's MAX potential in the past.
    I do expect to max out this space for this event.
    I do expect that it may be SRO at some time or another.
    And Yes we do expect to use the outside area for overflow if need be.

    The executive room will be used as part of the hospitality suite.

    Keep in mind all events listed are all still TENTATIVE until final plans and panels have been put in place which is happening now.

    If I may. You will take notice that this event was planned to be a BIG Event. And Much thought went in to trying to raise the funds needed to make it bigger.

    At this point in time 6 month in to the campaign we now work with what we have since these goals have not been met as we had hoped.

    Well man, with a $6200.00 budget and everybody wanting a location named 4mo. out,
    our options got limited real quick...
    It should be noted that when the hotel reservation was made, the attendee list was at 40 people...
